General Information

This Privacy Notice tells you what to expect in relation to personal information about you which is collected, handled and processed by the Association of Child Psychotherapists Limited (ACP).

The Association of Child Psychotherapists Limited (referred to in this notice as the ACP) is the Data Controller and can be contacted at CAN Borough, 7-14 Great Dover Street, London SE1 4YR.

We acknowledge and agree that any personal data of yours that we handle will be processed in accordance with all applicable data protection laws in force. 

It is important that you read this privacy notice together with any other notice or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data.

This privacy notice supplements any other notices and is not intended to override them.

What information we collect

Personal information means information about an individual from which the person could be identified.

The information that the ACP may gather, use, store and share as necessary fall in to the following general categories:

  • Identity information 
  • Contact information 
  • Financial and Transaction information 
  • Employment and professional information
  • Technical and website usage information
  • Communications preferences

How we collect this information

The ACP collects the majority of its information directly from you. You may provide us with information by filling in forms or corresponding with us by post, phone, email or otherwise.

The ACP collects some information indirectly:

  • Financial and Transaction Data from providers of technical, payment and delivery services. (PayPalElavon)
  • Publically available sources

How we use your information

The ACP collects, stores and uses personal information to carry out its main functions as a membership organisation and a registering body. In addition personal information is used to administrate events run by the ACP.  

When someone visits we use Google Analytics to collect standard internet login information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to various parts of the site. This information is only processed in a way that does not identify anyone.

Who we may share your information with

The ACP may have to share your personal information with the following:

  • Service providers acting as processors who provide IT and system administration services.

  • Professional advisers acting as processors or joint controllers including lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accounting services.

  • HM Revenue & Customs, regulators and other authorities acting as processors or joint controllers based in the United Kingdom who require reporting of processing activities in certain circumstances.

  • Publishers and printers for distribution of ACP publications

We require all third parties to respect the security of your personal information and to treat it in accordance with the law.

We do not allow our third-party service providers to use your personal information for their own purposes and only permit them to process your personal information for specified purposes and in accordance with our instructions.

Security of your information

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal information to those employees, agents, contractors and other third parties who have a business need to know.

They will only process your personal information on our instructions and they are subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.

How long we retain your information

  • We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
  • To determine the appropriate retention period for personal information, we consider the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorised use or disclosure of your personal information, the purposes for which we process your personal informtation and whether we can achieve those purposes through other means, and the applicable legal requirements.
  • In some circumstances you can ask us to delete your information. Please contact us using the details below.
  • In some circumstances we may anonymise your personal information (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

How you can access your information

You have rights under data protection laws to request access to and correction of the information the ACP holds about you.

ACP members can view and update their profile information by logging in to the website here.

If you are not a member or if you would like a copy of any information not on your profile please email or write to us at the address below. 

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
