Role Description for Registrar and CPD Lead - Closing Date: 1st July 2025
The Registrar and CPD Lead is a key role in the profession. It is critical in ensuring all members maintain high professional standards and in this way, protect the public.
The Association of Child Psychotherapists ( ACP ) is committed to addressing all forms of prejudice and discrimination in the institutions and practices of the profession. As Registrar and CPD Lead, you will be able to use and develop your leadership skills.
Key aspects of the role are:
- To ensure members are able to complete the annual CPD and Registration forms in a timely manner
- To respond to Members individual enquiries about registration and CPD.
- To work closely with the operational staff and with the Executive directors, CEO and Chair of the ACP.
- To oversee an annual audit of CPD returns and analyse the information collated to produce an annual report.
- To review the relevant policies and where appropriate make suitable changes which have to be agreed by the Professional Standards committee and the Executive Directors. The membership then need to be informed of any changes.
The tasks can be grouped into distict roles:
CPD and Registration:
- Review the CPD and Registration forms so that they are operational and collect the information required for the ACP and for The Professional Standards Authority (PSA).
- Ensure the fees are set by The ACP Board in a timely manner before Registration opens.
- Write communications for the membership providing information of the dates for CPD and registration.
- Respond to queries from Members who need an extension of more than 28 days to complete CPD and Registration.
- Respond to the more complex questions regarding supervision requirements.
- Respond to concerns from supervisors abut signing off the CPD return.
- Respond to more complex queries about categories A and B in the CPD form when operational staff indicate this is required.
- Respond to members requesting a change in membership category and those returning to work after a break of two or more years.
- Identify which Members should be sent a warning letter re payment of fees. (20 working days letter).
- Check and authorize statements for the ‘ Find a Therapist’ page on website.
- Deliver on line training in September for new members about CPD and registration.
Audit:
- Write audit form and then work with operational staff for this to be uploaded.
- Review form for auditors.
- Contact auditors and recruit new auditors if needed.
- Respond to queries from members who have been selected for the audit, noting any postponements from previous year.
- Undertake share of audit sample.
- Review all audit forms.
- Write audit report which is then shared with PSC and Executive Directors.
- Identify remuneration for auditors.
Other Responsibilities:
- Attend Business meetings and contribute to the operational and strategic development of the ACP.
- Attend bi monthly Professional Standards Committee.
- Meet regularly with the Director of Professional Standards and where necessary liaise with the CEO and the ACP Chair to ensure they are up to date with any issues or significant developments.
- Meet regularly with the operational staff to ensure the administrative roles have been completed in a timely manner.
Engage in communication with members as required. - Liaise with Chair of Ethical Practise Group regarding members who may have breached the Code of Professional Conduct and Ethics or the ACP Rules.
- Liaise with Director of Training regarding issues around trainees’ registration and to consider applications of membership under the APL process.
- Contribute to annual PSA reaccreditation process.
- Develop other training/meetings as the need arises – eg risk.
- Develop new policies and procedures in line with other regulatory requirements, and when indicated by the ACP.
There is an expectation :
- Strong commitment to the role.
- Regular attendance at meetings.
- All matters will be kept confidential and that data will be handled in line with the ACP’s Data Protection Policy.
Key Relationships
- The Registrar and CPD lead is responsible to the Chair of the ACP and the Board of Directors.
- The Registrar and CPD lead will liaise with Directors, the Chief Executive and staff team on aspects of their role as appropriate.
Meeting attendance and time commitments
The defined time commitment for the role of Registrar and CPD Lead is 2 sessions per week which is equivalent to 7 hours. The commitment may vary on a weekly basis depending on workload but should not exceed 7hours per week on average across the year. Commitments are estimated as follows:

Term of Office and Remuneration
- The term of office for each Officer shall be a minimum of two years and a maximum of four years. In exceptional circumstances, the four-year term may be extended for a further two years.
- Remuneration for the role is at the rate for two sessions per week at £12,391.02 per annum pro rata . The rate is reviewed annually.
- Other appropriate expenses will be reimbursed in line with the ACP’s expenses policy.
- A contract with terms and conditions as an Officer of the ACP will be provided at the commencement of the role.
Process for Appointments
- Applicants will be asked to attend an interview with the Director of professional Standards and another Executive Director or the CEO.
- Appointments will be confirmed at the following meeting of the ACP Board before being put to the following Annual General Meeting for ratification in line with the Rules of the Association.
